Job description

Job Purpose 

 

To oversee and supervise operational and financial matters in the School of Critical Studies. To support the Head of School and Head of Professional Services in the provision of an efficient and effective financial, human resource and administrative service which supports the Schools strategic priorities and objectives.

 

Main Duties and Responsibilities

 

1. Serve as the primary point of contact for administrative inquiries regarding locally delivered operational and financial management processes, escalating complex issues and seeking professional guidance from business partner colleagues as necessary.

2. Oversee and coordinate all administrative tasks related to locally delivered HR processes/Payroll activities in collaboration with Central POD colleagues, ensuring adherence to University HR policies and procedures. This includes acting as the secondary approver for staff engaged on a timesheet basis.

3. Maintain accurate records in accordance with University processes and procedures, and perform financial analyses as required to support School management and planning. This includes assisting with budget setting, monitoring staff costs and requisition activities.

4. Provide high-quality administrative support to the School Research Committee, which involves clerking meetings, tracking agreed outcomes, and administering academic research leave and associated guidance for the Research Convenor.

5. Collaborate with the local senior management team to manage the relevant physical estate and building fabric, liaising with Estates Business Partners and relevant colleagues to coordinate reactive maintenance, minor works, and accommodation needs.

6. Contribute to effective leadership by informing decision-making related to administrative procedures, data protection, and Freedom of Information matters, ensuring strict compliance with University policies and procedures.

7. Supervision and deployment of the School  Operations Team on operational matters, managing daily workloads to ensure comprehensive financial management and operational support for academic and administrative colleagues and ensuring all relevant processing and reporting deadlines are met.

8. Perform any other reasonable duties as assigned by your line manager.

 

Knowledge, Qualifications, Skills & Experience

 

Knowledge/Qualifications 

 

Essential
A1 A Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role or a substantial amount of relevant experience

A2 High levels of numeracy and analytical capability

A3 Excellent IT skills including in depth knowledge of Microsoft Office including Excel

 

Desirable
B1 Sound knowledge of University administrative and support systems and procedures

B2 Operational knowledge of other University systems e.g. HR Core, Agresso

 

Skills

 

Essential
C1 Excellent communication skills, both written and oral

C2 Excellent planning and organisational skills
C3 Ability to problem-solve and use initiative & independent professional judgement to make informed, on-the-spot decisions

C4 Management ability, comfortable operating independently and as part of a team 
C5 Discreet, with ability to respect confidentiality and deal sensitively with challenging people/situations

C6 High level of computer literacy including proficiency in Microsoft Office

 

Experience

 

Essential
E1 Proven experience of problem solving, planning, organising and setting priorities

E2 Significant relevant practical experience in a similar role 
E3 Proven decision making, involving independent analysis and judgement

E4 Project co-ordination / management experience

 

Terms and Conditions

 

Salary will be Grade 6, £33,482 - £37,174 per annum.

 

This post is full time (35 hours per week) and open ended (permanent).  Relocation assistance will be provided where appropriate.
