Job Purpose
The Student Records Manager is responsible for leading a team to deliver efficient and effective record management processes and high-quality services to students and staff.
You will lead the efficient planning and delivery of student records services, ensuring compliance with quality standards, institutional policies and regulatory requirements. You will work in partnership with stakeholders to co-ordinate data management, enhance service delivery, promote proactive approach to data quality and maintenance and support broader institutional objectives and projects
Main Duties and Responsibilities
1. Leadership and development of the Student Records team, fostering a positive and high-performing work environment.
2. Lead the planning and delivery of student records services, ensuring compliance with quality standards, institutional policies and regulatory requirements.
3. Delivery of efficient and responsive customer service.
4. Work in partnership with academic schools, services, and external partners and ensure effective service delivery and enhance data management. Promote teamwork to ensure smooth service delivery and address operational challenges.
5. Develop and implement improved processes and systems for student records management, focusing on efficiency, innovation, and continuous improvement.
6. Identify opportunities to enhance data quality, reporting accuracy, and operational workflows to support decision-making and compliance.
7. Work closely with IT teams to support the development and implementation of new functionality for student records and take the lead in user acceptance testing on behalf of the Registry.
8. Develop clear, user-friendly training materials and resources to support staff and students in the accurate administration of student records.
9. Evaluate the satisfaction and the effectiveness of student records services through the collection of feedback from stakeholders and performance analysis to drive improvements.
10. As a member of the Registry Management team, undertake wider leadership duties and perform additional responsibilities appropriate to the role. Participate in professional networks, institutional projects, and working groups, contributing to wider objectives and strategic initiatives.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
A2 Knowledge of the principals of good record keeping and information management.
A3 Knowledge of the principles of good customer service.
Skills
Essential:
C1 Proven leadership and people management skills.
C2 Strong organizational and time management skills to enable effective service delivery and manage competing priorities.
C3 Strong interpersonal skills to enable effective teamwork and partnership working.

Experience
Essential:
E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

E3 Experience of partnership working across a large and complex organisation.
E4 Experience of service delivery.
Desirable:
F1 Experience of working in records management or using an IT system to manage large scale processes.
F2 Delivery of services through a helpdesk.
F3 Development and/or delivery of training.
Terms and Conditions
Salary will be Grade 7, £40,247 - £45,163 per annum.
This post is full time and fixed term for up to 15 months from start date
