Job description
Job Purpose
Reporting to the Operational Support Services Manager, the Operational and Logistic Assistant is part of the Technical Services team who provides high quality, efficient logistics and operational support for research and teaching across the College of Science and Engineering.
The logistics team supports the distribution and safe handling of laboratory and scientific equipment throughout the College, University campus and further afield if necessary. The team also supports the co-ordination of activities across the 6 schools within the college, assisting operational staff, facility coordinators and Estates Services.
The Operational and Logistic Assistant engages in the collective management of the logistics request workflow as directed by the Lead Facility & Logistics Coordinator. This means responding to vehicle and driver requests; receiving, distributing, moving, installing or removing equipment, furniture or consumables; and managing the disposal of waste in accordance with University policy.
The postholder will also be responsible for coordinating the supply and disposal of gases used in laboratories.
Main Duties and Responsibilities
1. To support the Lead Facility and Logistics Coordinator in the planning of day-to-day operational aspects of the Logistics Team and to collaborate with the School Facility Coordinators and Technical Services Managers on a day-to-day basis to ensure efficient running of college facilities.
2. To supervise less experienced colleagues including training, instruction and guidance to deliver operational standards effectively and safely.
3. To resolve work problems and service users enquiries independently on routine matters, assessing, prioritising and sequencing work patterns to deliver a courteous and effective service.
4. To carry out handyman duties including the affixing of whiteboards/noticeboards and similar, replacement of keys, and reporting of building fabric faults to Estates Services.
5. To support the reception and redistribution and movement of goods, furniture, and other equipment across the School; and to receive, store and log incoming goods pending collection.
6. To co-ordinate the use of School vehicles and provide driving duties, liaising with vehicle hire companies or UofG Transport Services for the provision of vehicles, regular maintenance, repairs and testing regimes, and keeping up to date vehicle logs.
7. To act as Competent Person carrying out and recording necessary statutory inspections and replacement of compressed gas, liquid nitrogen cylinders regulators and associated equipment e.g. flash back arrestors, low pressure hose assemblies, valves, and fittings across the School.
8. To support the disposal of a variety of items using University waste streams for WEEE, cardboard packaging, glassware, pallets, confidential and general waste.
9. To maintain good practices in line with Health and Safety and Fire Regulations, ensuring good housekeeping in circulation and communal areas.
Knowledge, Qualifications, Skills and Experience
Knowledge and Qualifications
Essential:
A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role
Or: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role
A2 Clean UK driving licence (categories B and D1), held for a minimum of 2 years
Skills
Essential
C1 Detailed knowledge of relevant systems, equipment, processes and procedures relative to the role and the quality standards and outputs required. Familiarity with Microsoft Office and Outlook
C2 Ability to communicate clearly, clarifying requirements and responding to customers, colleagues and contractors
C3 Good knowledge of the Health and Safety legislation that is applicable to the role.
C4 Good organisational skills and ability to plan and prioritise work to meet competing demands
C5 Ability to work independently using own initiative and as part of a team
C6 Willingness to develop professionally and participate in training to acquire additional skills
Desirable:
D1 First Aid Certificate – full training will be provided if required
D2 ADR license as required by drivers of vehicles carrying dangerous goods on the public highway – full training will be provided if required
D3 Ability to operate a range of apparatus for the lifting and moving of equipment and goods
Experience
Essential
E1 Sufficient experience required to undertake the main duties associated with this role
E2 Experienced in manual handling
Desirable
F1 Experience of working with compressed gas cylinders. Training will be provided to meet competency requirement to carry out and record necessary statutory inspections and replacement of compressed gas, liquid nitrogen cylinders regulators and associated equipment
F2 Relevant work experience gained in a University/HE environment
F3 Experience of driving minibuses and transportation of students and staff
Terms and Conditions
Salary will be Grade 4, £23,881 - £26,338 per annum.
This post is full time (35 hours per week) and open ended (permanent).
