Job description

Job Purpose

Support and advance programmes of alumni engagement for the College of Arts & Humanities by managing and providing datasets, communications, events organisation support and liaising with and supporting volunteers, alumni groups and associations. In collaboration with colleagues across the College, within the College External Engagement Team and Development & Alumni, encourage and support Schools in the development and implementation of their alumni activities with a view to developing a highly engaged community of alumni to increase affinity and build goodwill.

 

Main Duties

1.    Respond to alumni enquiries (in person, on the phone or in writing) in a timely and efficient manner, answering questions, providing further information, finding solutions to problems and connecting with colleagues.

2.    As part of the College External Engagement Team, maintain relationships with School and College staff, raising awareness of the value of alumni engagement. Work with the Colleges Alumni Officer to advise on how these can be met, managing expectations appropriately.

3.    Identify alumni from within School/College cohorts that could support all volunteering and fundraising programmes. Support the management of individual relationships by liaising with colleagues and utilising the University’s CRM, Raiser’s Edge, to log information and track progress.

4.    Use experience and judgement to build appropriate queries and interrogate the database to provide accurate and compliant datasets for communications, event invitations, volunteering requests. Update the database appropriately when responses are received, and activity undertaken.

5.    Monitor alumni activity across the College and Development and Alumni and working with the College Marketing and Communications team to enable appropriate messaging and timing of promotions activity. Create content for dissemination to College of Arts alumni in an engaging format to inspire and deepen relations, including sharing news and event invitations from across the College and wider University where appropriate.

6.   Working with colleagues, support College events involving alumni engagement. Ensure College alumni are supported with the planning of their own events and reunions.

7.   Meet with and engage alumni and identify opportunities for them to support the College through volunteering, advocacy, influence and philanthropy.

8.   Alongside colleagues within ER and the College, support the delivery of appropriate student engagement activities with the aim of raising awareness among students and staff of the alumni community and its benefits, including support of student workshops, Student society events and presence at graduation.

 

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential

A1.  Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2.  Knowledge of privacy and data protection legislation and understanding of the requirements of working with personal and confidential information.

A3.  Understanding of alumni engagement programmes and how they can be used to support fundraising, international recruitment and partnerships.

 

Desirable

B1.  Knowledge of current fundraising methodologies in charity or HE sector.

B2.  Knowledge of the University of Glasgow.

 

Skills

Essential 

C1.  Strong IT skills including proficiency with relationship/CRM systems.

C2.  Excellent attention to detail.

C3.  Ability to collect and review data, analyse and draw conclusions.

C4.  Excellent communication (both written and oral) and interpersonal skills with the ability to produce/present clear and concise information to a range of audiences.

C5.  Excellent organisational and planning skills with the ability to multitask and solve problems in order to meet agreed deadlines.

C6.  Ability to work effectively as part of a team but be able to work independently when necessary.

C7.  Initiative, tact and discretion to handle personal relationships appropriately

E1.  Experience of using social media to promote activity and information.

E2.  Experience of organising events.

E3.  Experience of interrogation and input into a relationship management database such as the Raiser’s Edge.

E4.  Experience in a customer-facing role such as alumni engagement, fundraising, membership.

 

Desirable

F1.  Experience of /involvement in volunteering and/or international student activity at Glasgow.

F2.  Experience of interrogating and inputting into the Raiser’s Edge database.

F3.  Experience in an alumni relations or fundraising office.

 

Terms and Conditions

Salary will be Grade 5, £26,338 - £30,805 per annum.

 

This post is full time (35 hours p/w) and fixed term to 31 December 2025.
