Job description

Job Purpose 

Responsible for the coordination and administration of pre-entry engagement with disabled offer-holders to ensure that their disability-related study support needs are assessed and communicated. This role will involve effective liaison between the Disability Service and key stakeholders including Admissions, Estates/ Facilities, other student services  and academic subject areas.

 

Main Duties and Responsibilities 

1. With guidance from the Business Support Lead and Disability & Inclusion Lead, take the lead and support the development and oversight of all administrative systems and processes underpinning pre-entry work with disclosed offer-holders, to ensure that disabled offer-holders; a. know how to use the Disability Service; b. understand the risks associated with studying unsupported; c. have the best possible experience of transition to HE.

2. Plan, coordinate and manage all administrative procedures relating to the transfer of applicant data, including information processing, scheduling meetings and ensuring effective communication with offer-holders and staff.

3. Manage and maintain web pages to ensure the availability of accurate, up-to-date information.

4. Work with minimum supervision, within established guidelines, using knowledge and judgement to identify disabled offer-holders who should be prioritised for engagement with the advising team prior to commencing study, to ensure appropriate support and adjustments are in place.

5. Liaise with colleagues outwith the Disability Service to ensure offer-holders’ Study Support Plans are noted and implemented.

6. Collate and review offer-holder information, categorise and prioritise offer-holders for targeted communication, systematically review offer-holder responses, and follow up as required.

7. As part of the larger Administration Team, contribute to the general administrative work required to deliver an effective Disability Service. This will include:

- responding to various enquires by email, telephone and in-person;

- collating information to respond to FOI enquiries;

- providing excellent customer service to offer-holders, students and staff;

- providing administrative support for the Disability Service’s case management system.

8. Maintain appropriate professional boundaries, being mindful of relevant policies and procedures, for example, confidentiality and data protection.

9. Contribute to the ongoing review and improvement of pre-entry processes to enhance the experience for disabled students. Participate in review of student feedback aimed at improving the efficiency and effectiveness of the Disability Service.

 

Knowledge, Qualifications, Skills and Experience 

Knowledge/ Qualifications  

Essential: 

A1 Scottish Credit and Qualification Framework level 7 (Advanced Higher/ Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role. Or, ability to demonstrate the competencies required to undertake the duties associated with this level of post, having acquired the necessary knowledge and skills in a similar role.

A2 Knowledge of best practice in and commitment to promoting equality and inclusion for disabled people.

A3 Excellent knowledge of Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.

A4 Understanding of data protection compliance and working with confidential information.

A5 Understanding of the Equality Act 2010, particularly in relation to Higher Education.

A6 Familiarity with customer relationship management systems and maintaining databases.

 

Desirable: 

B1 Knowledge of the Target Connect CRM and its application to Student Services.

B2 Knowledge of University of Glasgow systems, e.g., MyCampus, Ivanti, terminalfour (t4) and Agresso.

 

Skills 

Essential: 

C1 Ability to work both independently and collaboratively.

C2 Ability to apply criteria with sensitivity and judgement and to make decisions independently, such as to prioritise offer-holders according to their study-related support needs.

C3 Excellent time management skills and ability to prioritise a busy workload.

C4 Effective and clear written and oral communication skills with an ability to liaise effectively with colleagues at all levels.

C5 Discretion and ability to maintain confidentiality.

C6 Accuracy and attention to detail.

C7 Ability to problem solve, using creativity and adaptability.

 

Experience  

Essential: 

E1 Extensive experience in an administrative role.

E2 Experience of Microsoft Office packages and evidence of collating and analysing data, and producing clear, accurate and concise reports.

E3 Experience of providing outstanding customer service in a fast-paced environment.

E4 Experience of dealing effectively with a range of stakeholders at all levels.

E5 Experience of collaborating and prioritising work to deliver an efficient service.

E6 Experience of implementing new systems and working practices.

 

Desirable: 

F1 Experience of working in higher or further education.

F2 Experience of web editing.

 

Terms and Conditions

Salary will be Grade 5, £26,338 - £30,805 per annum.

 

This post is full time and open ended.
