Job description
Job Purpose
To provide effective and efficient administration support for Learning and Teaching processes to maintain the effective operation of the College of Arts & Humanities and its constituent Schools.
The role holder will be deployed across the College of Arts to meet current operational need with initial deployment expected to be in the School of Culture and Creative Arts. The role holder will be expected to work in conjunction with the School Learning, Teaching and Student Experience Manager to provide administrative support to ensure the efficient functioning of undergraduate and postgraduate teaching and learning support across the School of Culture & Creative Arts ultimately supporting the School to meet its strategic objectives and targets.
As a progressive and constantly evolving institution, the University implements new systems and adopts new ways of working, and over time the role holder may be deployed in other areas of the College to cover business needs. This will provide the role holder with the opportunity to acquire a variety of skills and experience.
Main Duties and Responsibilities
1. Contribute to the delivery of an excellent level of administrative support for staff and students, supporting colleagues in Learning and Teaching administration and undertaking other administrative duties as requested by the Learning, Teaching and Student Experience Manager.
2. Receive and respond to enquiries from/to staff, students, external customers to provide a timely, courteous, and effective service to others.
3. Prepare documentation/information following standard format/templates or running straightforward reports.
4. Make routine arrangements and bookings, in accordance with clear instructions, involving the preparation and organisation of straightforward information.
5. Responsible for the day-to-day operation of systems and equipment necessary for the successful completion of all assigned tasks.
6. Some planning and organisation of workload is required to ensure delegated School workflow is maintained and is essentially about timing and sequencing of assigned tasks.
7. Use discretion to identify and resolve issues, referring to line manager for assistance, as necessary.
8. Employ University procedures in relation to the confidentiality of personal data relating to staff and students.
9. The duties of the post outlined here are not exhaustive, the postholder will be expected to be co-operative and flexible and undertake other duties as may be reasonably expected. The duties of the post will be subject to review in line with changing requirements, both internal and external.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post gained through working in a similar role. Or: Scottish Credit and Qualification Framework level 4 in English and Mathematics (National 4) or equivalent, and some experience of working in a similar role.
A2 Excellent operational knowledge of Microsoft Office Packages.
Desirable:
B1 Knowledge of business / CMS systems.
B2 Knowledge and understanding of Further or Higher Education.
Skills
Essential:
C1 Competent numeracy and literacy skills.
C2 Competent written and/or oral communication skills.
C3 Understanding of the importance of adhering to policies and procedures.
C4 Understanding of health and safety policies and procedures and standards required.
C5 Good interpersonal skills and able to display tact, diplomacy and discretion.
C6 Good attention to detail.
C7 Confidence to identify when issues need to be escalated to appropriate levels.
C8 Discretion and the ability to maintain confidentiality.
C9 Commitment to continuous improvement.
Desirable:
D1 Practical experience of MyCampus, CMIS and other University of Glasgow IT based systems.
D2 Ability to support formal meetings, including preparation of papers, meeting organisation, note taking and communication of actions.
Experience
Essential:
E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
E2 Experience of Microsoft Office packages e.g. word, outlook, excel.
E3 Experience of working within an office based environment.
E4 Experience of dealing effectively with a range of customers.
E5 Experience of prioritising day to day tasks and working to deadlines.
Desirable:
F1 Experience of working in a higher or further education setting.
F2 Awareness of relevant health and safety policies and procedures relative to the role.

This post is part-time (17.5 hours per week), and open ended (permanent).
