Job Purpose

 

To manage and provide effective and efficient operational support, and to be the day-to-day point of contact and administrator for the project ‘Knowing Risk’ led by Principal Investigator Deborah Dixon and the projects academic partners.

 

Main Duties and Responsibilities

 

1. To be first point of contact for the team’s and the current and upcoming project partners’ queries, and provide support to the Principal Investigator as required. The role will involve close liaison with the Research Support Office and Research Development teams at the College of Science and Engineering.

 

2. Support partnerships with colleagues and organise and participate in meetings, seminars and workshops.  To organise conferences, events, and other activities, liaising with staff, participants, University Services and outside agencies as appropriate.

 

3. To collect, compile and summarise regular reporting (and other) data from across the project, as required by the PI.

 

4. To organise and support meetings, take minutes and disseminate accordingly.

 

5. To regularly update the social media channels and the website, being responsible for content and ensuring compliance with appropriate branding guidelines.

 

6. Ensure effective financial management of the research team and projects, including purchase requisitions, travel and other expenses, commitment and spend on the core budget, and that deliveries are receipted in the system appropriately. Processing of related expenditures and the provision of regular financial reporting in order to ensure financial obligations to the University are met.

 

7. Support recruitment and other HR processes such as induction of new team members.

 

8. Assist the PI with project reporting and dissemination both in the form of documents but also blogs.

 

9. Contribute to the enhancement of the University’s international profile in line with the University’s Strategic Plan, World Changers Together.

 

10. Contribute to a culture of continuous improvement through identifying and supporting the implementation of process improvements to enhance the student and staff experience and participate in wider improvement projects.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications

 

Essential

A1  Either: Ability to demonstrate the competencies required to undertake the duties associated with this post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2  Knowledge and understanding of administration and support services.

A3 Good understanding of humanitarian technologies and the African Drone and Data Academy.

 

Desirable

B1  Knowledge of the Higher Education research environment.

B2  An understanding of university grant application processes and funder guidelines.

B3  Knowledge of environmental risk in Malawi including government, local authorities, third sector organisations, community groups and/or businesses.

 

Skills

 

Essential

C1  Strong IT skills, including Excel, Word.

C2  Effective planning, organising and prioritising skills, including events planning and management.

C3  Initiative and judgement to resolve problems independently.

C4  Effective planning, organising, and prioritising and ability to take initiative and to exercise independent judgement.

C5  Ability to communicate clearly orally and in writing to ensure effective reporting.

D1  Good understanding of GIS and Citizen Science methods.

 

Experience

 

Essential

E1  Experience of relevant research administration or experience in a similar or related role.

E2  Experience of processing, analysing, and presenting data for a diverse range of audiences

E3  Experience of tracking budgets, with support from specialist staff.

E4  Experience of working with Agresso or a similar accounting system.

E5  Experience of coordinating of events, for example seminars, workshops.

 

Desirable

F1  Experience of Higher Education environment and supporting the work of academics.

F2  Experience of supporting recruitment and managing staff changes.

F3  Experience supporting collaborations across a wide range of university disciplines and sectors.

 

Terms and Conditions

 

Salary will be Grade 5, £26,038 - £30,505 per annum pro rata.

 

This post is part-time (17.5 hours per week), and has funding available until 29 December 2025 in the first instance.
