Job Purpose:
To provide essential administrative support to the Clinical Neuropsychology Masters suite of programmes within the College of Medical, Veterinary, and Life Sciences (MVLS). You will guide students from their initial inquiries through to graduation, ensuring a high-quality, efficient, and supportive front-line service. In addition to advising prospective new and returning postgraduate taught (PGT) students, you will also support academic staff and colleagues involved in the delivery of teaching within the programmes.
Main Duties and Responsibilities:
1. Provide a comprehensive administrative support to the Clinical Neuropsychology suite of Masters programmes, ensuring an effective support service is provided to students, academic staff and colleagues.
2. To act as the first point of contact for all enquiries relating to the Clinical Neuropsychology suite of Masters programmes. This will involve dealing with a high volume of enquiries on a day-to-day basis, providing accurate and up to date information, responding to enquiries in a timely manner and escalating matters as appropriate.
3. Assist with the coordination of programme admissions by liaising closely with both prospective students and the central Admissions Team to facilitate the smooth conversion of applicants. This will involve providing timely and accurate information to prospective students and colleagues on all aspects of the programmes, organising and attending induction events.
4. Maintain programme and course information, including student handbooks, regularly liaising with the Programme Director and Course Leads to ensure that programme and course information is accurate and up to date. This will involve ensuring the programme and course specifications are regularly reviewed and updated in line with University and College approvals processes and within the required timescales.
5. Maintain and update student records, ensuring accurate recording, storage, and dissemination of information in line with University policies and data protection legislation. Interrogate student data to ensure accuracy of records and data reporting and liaise with central services [e.g., Registry, Finance] to ensure accuracy of student records. Make extensive use of MyCampus throughout the year to identify any issues or anomalies, including those relating to finance e.g. tuition fees.
6. Manage financial processes, including issuing invoices for course fees for CPD attendees, lodging payments using Agresso, and maintaining a financial monitoring system for program income and expenditure.
7. Organise programme and teaching meetings, including the preparation of agendas, attendance as clerk, distribution of minutes, and follow-up on action items.
8. Act as a key contact for Disability Services, ensuring appropriate accommodations for students with additional requirements, including examination arrangements. Provide advice to students and staff regarding available support services.
9. Manage the attendance protocol for students who have visas, maintaining compliance with UK Visas & Immigration (UKVI) requirements. Ensure accurate records for audit purposes.
10. Facilitate student progression, including registration, enrolment, progression monitoring, and withdrawal processing.
11. Collaborate with colleagues to resolve advising and student issues, providing pastoral support and financial advice to students as needed. Monitor queries via email and ticketing systems, and provide management information as required.
12. Develop and maintain online learning environments ensuring information is accurate, up-to-date, and accessible.
13. Undertake other administrative tasks as requested by the Deputy PGT Manager or other senior staff.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1. SCQF Level 7 [Advanced Higher/SVQ Level 3/HNC] or equivalent experience gained through significant relevant work experience.
Desirable:
B1. Understanding of University structures, policies and procedures [including but not limited to those governing learning, teaching and assessment, support for students with disabilities, data protection legislation].
B2. Working knowledge of activities of other areas of the University that relate to support for postgraduate taught students

Essential:
C1. First class organisational skills and a proven ability to prioritise work efficiently and multi-task whilst producing work of a high standard C2. E1. Relevant administrative experience plus above qualifications OR evidence of progression and development gained through relevant work experience

E4. Experience of using a wide range of IT systems, including MS Office suite E5. Significant administrative experience demonstrating the ability to drive change to improve both systems and processes in place E6. Experience of excellent service delivery and building customer relationships

F1. Relevant experience of a Higher or Further Education environment including experience of working with students F2. Experience of University IT systems [PIP, MyCampus, CMIS, Moodle]
F3. Experience of using Microsoft OneDrive

Salary will be Grade 5, £26,038 - £30,505 per annum pro rata.
This post is part-time (28 hours per week), and open ended.
