Job description

Job Purpose

You will support a wide range of project, administrative and process co-ordination activities within the Robertson Centre for Biostatistics, part of the Glasgow Clinical Trials Unit. You will contribute to a varied project portfolio within a clinical research context and support key organisational processes in a number of areas including study site administration, meetings support, document management, safety reporting, endpoints co-ordination, clinical coding and general administration. Clinical trials experience would be useful, but consideration will also be given to strong applicants with a projects support/administrative background in another field. Training and mentoring in clinical trials can be provided to the successful candidate.

 

Main Duties and Responsibilities

1.    Support the project management function across a wide portfolio of projects to ensure the smooth operation of the Centre’s functions. This includes taking personal responsibility for some or all aspects of specific clinical trials or research projects and ensuring that appropriate documentation and tracking systems are updated and issues resolved appropriately.

 

2.    Contribute to processes in support of clinical trials management, ensuring professional and effective service delivery. These processes include document control, obtaining regulatory approvals, study site setup, standard operating procedures (SOP) management, safety reporting in line with legal and regulatory requirements (including SUSAR reporting), study endpoints co-ordination and the clinical coding function (adverse events and medications).

 

3.    Take the lead in document management and archival of clinical trial materials in accordance with legislative requirements, from initiation through to completion (including collating, checking, boxing, logging, storage, dispatch and retrieval of documents).

 

4.    Provide support for the Centre’s administrative functions including recruitment, finance, contracts, purchasing, estates, funding applications, advisory service, documentation, training and contribution to reception cover. Be knowledgeable about wider University issues in relevant areas and provide general advice on University rules, regulations and working practices, liaising with other University departments as required

 

5.    Contribute to the Centre’s Quality Management commitments (ISO 9001 and ISO 27001), including adhering to quality and regulatory requirements, administrative support to quality management staff, maintenance of SOPs and other guidance documents, and review of SOPs in own area of responsibility.

 

6.    Meeting organisation and setup (in-person and on-line), including date setting, minute taking, and agenda and papers circulation.

 

7.    Provide support to the Centre’s Director, providing diary management, forward planning, organising complex business travel arrangements, assisting in administrative tasks, liaising with internal and external colleagues/collaborators.

 

8.    Support conference attendance (including organising travel arrangements for Centre staff as required), coordinating and organising events/meetings and attending those as required.

 

9.    Duties of the post outlined are not exhaustive, and the post holder will be expected to be co- operative and flexible, undertaking such other duties as may be reasonably expected by management. The duties of the post will be subject to review in line with changing requirements, both internal and external.

 

Knowledge, Qualifications, Skills and Experience

 

Knowledge/Qualifications

Essential:

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent

or, 

Ability to demonstrate competencies required through personal development and progression in a similar role.

 

Desirable

B1 Knowledge of the key areas of clinical trials management (e.g. data collection & management, safety reporting, site setup, clinical trials approvals) as well as the requirements of ICH Good Clinical Practice and other applicable regulatory and data protection requirements.

 

Skills

Essential

C1 Strong organisational skills, with excellent knowledge of relevant software packages in support of these (e.g. Word, Excel, Outlook, PowerPoint).

C2 Strong user-focussed approach with ability to understand and present information in an easy-to- understand format.

C3 Ability to cope under pressure while maintaining a high level of accuracy, with ability to work independently and under supervision, assess priorities and manage own workload effectively.

C4 Excellent interpersonal skills and ability to work as part of a team with staff at all levels.

C5 Reliable, trustworthy and able to maintain confidentiality.

C6 Flexible and committed approach to work.

 

Experience

Essential:

E1 Experience in a project management support role or administrative/organisational role at an appropriate level of responsibility.

 

Terms and Conditions

Salary will be Grade 6, £33,232 - £36,924 per annum.

 

This post is full time and fixed term for 12 months.
